Accounting Clerk (part-time)

We have an immediate opening for a talented, energetic and organized individual to be our new Accounting Clerk to join our team at the Federation for the Humanities and Social Sciences. This is a new part-time (3 days per week) position that will report to the Accountant.?

What you will do

In this role, you will support the accounts payable and receivable functions of the organization.? You will be able to work independently and be expected to use your skills, resources, tact and diplomacy to work with staff in other departments of the office to gather information to support the accounting function and keep financial records up to date.? ?

The Accounting Clerk works closely with the Accountant and supports him/her in their work on collections and processing accounts payable. Key responsibilities include the following:

Accounts payable:

  • Process, sort, copy, record and file financial transactions and other accounting information to maintain and process accounting records;
  • Record, balance and generate employee and volunteer expense reimbursements and maintain spreadsheets or database for same;
  • Process vendor invoices on a timely basis;
  • Verify financial documentation to support invoices, seeking authorization approval as required in advance of payment;
  • Respond to inquiries and investigate issues as required;
  • Maintain QuickBooks vendor files with address, contact and account numbers.

Accounts receivable:

  • Maintain QuickBooks customer files with contact, address, account number and updates as required;
  • Process, sort, copy, record and file financial transactions and other accounting information to maintain and process accounting records;
  • Prepare and disseminate invoices annually to member associations and institutions for annual membership fees;
  • Review and post receipts and payments to appropriate system ledges, spreadsheets and databases. Monitor accounts to ensure payments are received, and be responsible for collections of overdue accounts;
  • Respond to inquiries, investigate issues and provide summary documentation as required.

Other:

  • Offer adhoc assistance to the Accountant and/or the Director, Business Operations from time to time.
  • Receive mail/deliveries, visitors from time to time.

What you need

  • Post-secondary education or equivalent.
  • A minimum of two years experience in a similar position.
  • Positive energy and a professional demeanor at all times displaying tact, diplomacy and discretion in dealing with contractors, suppliers and members of the organization who are senior levels of universities, government officials, national professional organizations and/or institutes.
  • Demonstrated and proven technical competence with QuickBooks and MS Office (Word, PowerPoint, Excel and Outlook).
  • Fluency in English is required (written and spoken), French would be an asset.
  • Excellent organizational skills and attention to details.

Member Relations Coordinator

What You Will Do

We are seeking a Member Relations Coordinator who will play a key role in contributing to the success of the organization. Working as part of the Director, Member Engagement and Communications team, he/she will manage and develop systems to engage and communicate with member organizations in pursuit of the Federation’s strategic objectives. The Coordinator will also facilitate and manage partnership projects and events with key stakeholders linked to our membership objectives.

The ideal candidate is a pro-active team player with a keen interest in the world of ideas, research and learning, and has good networking abilities, strong communications skills and sound experience in engaging members or stakeholders.

  • Liaises and maintains communications with member organizations to advance the objectives of the Federation.
  • Tracks information related to member services and coordinates the delivery of key member services.
  • Responds to enquiries from non-members seeking information about membership and processes membership requests.?
  • Aids in development and oversight of initiatives that serve the needs of the Federation’s scholarly associations, institutions, affiliates, as well as key stakeholder groups.
  • Works with the Communications team on materials and programs to recruit and retain members
  • Drafts promotional materials and web content related to stakeholder relations and member services.
  • Administers the allocation of special funding programs available to members (from promoting the competition, to collecting and reviewing applications, to selecting and notifying winners, and coordinating the fund allocation process internally with colleagues in Finance.
  • Undertakes research in areas such as identifying new members, member retention and renewal, member satisfaction surveys, member needs assessment and competition analysis.
  • Analyzes member data and provides briefings on member relations issues to senior management and the Board of Directors as required.
  • Maintains membership-related technological systems (i.e., Customer Relationship Management (CRM), Membership Management System) and, acts as an ambassador representing members’ interests to technological providers.
  • Gathers and reports on metrics and provides ad hoc data and membership-related reports to the Director.
  • Supports the Director of Member Engagement and Communications and other members of senior management with member-related information and data.

What You Need

  • Post-secondary education or a minimum of three years’ in a member or stakeholder relations role, ideally within a non-profit or industry association.
  • Minimum two years’ experience in database management with a high level of accuracy, efficiency and speed.
  • Experience in forming strong and effective networks and managing systems for tracking and updating key organizational information.
  • Successful track record in program development and delivery.
  • Demonstrated skill in managing sensitive situations and delicate negotiations involving multiple stakeholders.
  • Knowledge of issues related to the humanities and social sciences and the academic or scholarly communities would be an asset.
  • An ability to liaise with individuals at senior levels of university and national professional organizations or institutes.

What You Bring

  • Bilingualism; excellent written and oral communication skills in English and French, including writing for the web.
  • Advanced software skills including word processing, spreadsheets, slide presentations, databases, electronic mail and scheduling; experience with desktop publishing software is an asset.
  • Demonstrated ability to organize multiple tasks and appropriately prioritize activities as well as make decisions to most effectively utilize time and resources.
  • Must be detail-oriented, with a strong focus on organization, planning, follow-up and superior quality.
